QuickBooks Desktop + your store
QuickBooks Desktop ecommerce integration
CartSpan® posts your Shopify, WooCommerce, Magento and other web orders into QuickBooks Desktop as invoices, sales receipts or sales orders, on its own. It checks QuickBooks for stock changes every minute and starts sending any it finds to your store. When an order’s lines don’t add up to what the customer paid, it holds that order and tells you.
- QuickBooks Desktop Pro, Premier or Enterprise, 2023 or newer
- Orders as often as every 15 min
- Stock checked every minute
- $495, then $299 a year from year two
- Any number of orders
- Stock updates included

What lands in QuickBooks
The documents you’d key by hand, done the way your accountant would.
A wholesale customer with their own prices?
On your store
A buyer in your Wholesale group orders 40 units at the web price.
→
In QuickBooks
- A sales order on Net 30, not a paid invoice
- On QuickBooks Enterprise, their price level, not the web price
- Terms and sales rep follow the group
Sold as a kit, stocked as parts?
On your store
A $80 garage starter kit: cleaner, squeegee and mop pads.
→
In QuickBooks
- Already a QuickBooks Group item? CartSpan recognizes it and splits it on import
- Otherwise the kit posts as its parts, the price split by list price: $48 / $20 / $12
Card, PayPal and the processor’s fee?
On your store
A customer pays $95.55 by PayPal. PayPal keeps $3.82.
→
In QuickBooks
- A sales receipt, or an invoice and its payment
- $91.73 to your PayPal account, so it matches PayPal’s statement
- The fee booked by your formula for that payment method
Revenue by store, stock by site?
On your store
Web orders, Amazon orders and Shopify POS sales.
→
In QuickBooks
- A class per store, so your reports show where sales came from
- QuickBooks Enterprise with Advanced Inventory: Amazon-fulfilled sales come out of a site or bin you name
Examples. Customer groups, price levels, classes, accounts and fee formulas come from your own setup. Kit parts listed at $60 / $25 / $15.
Stock from QuickBooks
QuickBooks decides what your store shows.
- Every minute, CartSpan checks QuickBooks for items whose stock changed and starts sending only those. Kits counted from their parts, and a few other stock options, update on your scheduled refresh instead. How stock updates work →
- Quantity available, not on hand: stock minus open sales orders. Optionally ignore orders due more than a set number of days out.
- QuickBooks Enterprise with Advanced Inventory: leave out stock held at sites such as “Returns” or “Quarantine”.
- Assemblies show how many you could build from the parts on hand.
QODBC, plainly
What QuickBooks needs beside CartSpan.
- CartSpan writes to QuickBooks through Intuit’s QuickBooks SDK and reads through QODBC, a driver from FLEXquarters.
- QuickBooks Enterprise includes the read-only QODBC CartSpan needs.
- QuickBooks Pro and Premier need a read-only QODBC license: $149 per user a year (FLEXquarters, checked October 13, 2026).
QuickBooks Desktop, for the long haul
Your desktop accounting isn’t going anywhere, and neither are we.
- Intuit says QuickBooks Desktop 2024 has no sunset deadline (Intuit help article updated September 18, 2026; checked October 13, 2026).
- Coming from QuickBooks Point of Sale, which Intuit discontinued on October 3, 2023? CartSpan posts your Shopify POS sales into the QuickBooks Desktop you already keep.
- Building for desktop books since 2007, with the build for each new QuickBooks year included in maintenance.
Hosted QuickBooks
Your server, or a host you choose.
- Run CartSpan beside QuickBooks on your own PC or server, including a terminal server.
- CartSpan customers also run it at Summit Hosting and Ace Cloud Hosting, at no extra cost.
- Rightworks doesn’t host CartSpan.
- QuickBooks Desktop only, not QuickBooks Online.
- CartSpan is a Windows program beside your books, and that computer needs to be on. After a restart, open CartSpan again and it picks up where it left off.
Which QuickBooks editions work?
QuickBooks Desktop Pro, Premier and Enterprise, 2023 or newer. Not QuickBooks Online.
What does QuickBooks Pro or Premier need?
A read-only QODBC license from FLEXquarters, $149 per user a year (checked October 13, 2026). QuickBooks Enterprise includes it.
Sales receipt, invoice or sales order?
Your choice, by customer group or payment method: for example, a sales receipt for retail and a sales order on Net 30 for wholesale.
Does it work with hosted QuickBooks?
Yes, at Summit Hosting and Ace Cloud Hosting, or your own terminal server. Rightworks doesn’t host CartSpan.
I used QuickBooks Point of Sale. What now?
If you moved to Shopify POS, CartSpan posts those sales, labeled by location, into QuickBooks Desktop.
