WooCommerce
WooCommerce accounting integration
CartSpan® connects WooCommerce to QuickBooks Desktop or Sage 50 U.S.: orders in on their own, stock and prices back to your store. There’s no WordPress plugin to install or keep compatible.
- No WordPress plugin
- Orders as often as every 15 min
- Stock checked every minute
- Regular and sale price back
- $495, then $299 a year from year two
- Any number of orders
- Stock updates included
How it connects
Two small scripts, not a plugin.
- Two small scripts on your web server: one reads orders from the WooCommerce database, the other writes stock and prices. They answer CartSpan only.
- Nothing joins your WordPress plugin list, so there’s nothing to update or clash with your other plugins.
- Works with WooCommerce’s classic order storage and the newer order tables (HPOS); we match the script to your store on the first call.
- Stock, regular price and sale price go back to WooCommerce from your books. Stock changes are checked every minute. Kits counted from their parts, and a few other stock options, update on your scheduled refresh instead. How stock updates work →
What it reads
The WooCommerce details your books need.
- The variation the customer chose, by its own SKU, and product add-ons
- Coupons, shipping, fees and the order’s tax, to the penny
- Customer roles, including roles a wholesale plugin adds: each can decide the paperwork
- Card type and last four from Stripe or Authorize.net, and a PO number from a purchase-order gateway
- Gift cards and sequential order numbers from their plugins
Pick your books
WooCommerce with QuickBooks Desktop or Sage 50 U.S.
The WooCommerce side works the same either way. What lands in your books follows each program’s own documents and tax.
QuickBooks Desktop
- Invoices, sales receipts or sales orders
- A QuickBooks Group item is split on import
- Customer price levels applied on import (QuickBooks Enterprise)
- A class per store, for revenue by store
- Pro and Premier need read-only QODBC, $149 per user a year (checked October 13, 2026); Enterprise includes it
Sage 50 U.S.
- Invoices or sales orders
- Tax split across your Sales Tax ID’s agencies by rate
- Deposit tickets split by payment method
- A sales account per store, for revenue by store
- Sage 50 U.S. 2024 or newer; no QODBC needed
Do I need a WordPress plugin?
No. Two small scripts on your web server do the job, so there’s no CartSpan plugin to update or clash with your others.
Do customer roles change how orders post?
Yes. Each role can decide the document type, terms, sales rep and customer account.
Are prices sent back to WooCommerce?
Yes: regular price and sale price, along with stock.
Which should I pick, QuickBooks Desktop or Sage 50?
Whichever you already keep. CartSpan connects WooCommerce to either; the two pages above show what lands in each.
