Getting started
What’s the first step?
A short call: 513-708-1317, 8 am–5 pm Eastern, Monday to Friday, or ask us to call you. Tell us your store, your books and how you work. If CartSpan isn’t the right fit, we’ll say so before anyone spends time on it. #
How does the trial work?
It’s free and lasts 10 days, on your own orders and your own books. We install and configure CartSpan with you remotely, in about an hour, once your accounting prep is done. The trial brings in up to 10 days of order history. #
Can I install CartSpan myself?
Not the first time. The first install is done with you during the trial, so the connection, your item map and your accounts are set up correctly from the start. #
What does CartSpan run on?
A PC running Windows 11 or later (or Windows Server), beside QuickBooks Desktop or Sage 50 U.S., or a hosted server with your books. CartSpan is a program, not a Windows service: leave it running on a computer that stays on, or run it when you need it. After a restart, open it again and it picks up where it left off. #
Do I need any special hardware to run CartSpan?
No. CartSpan runs on an ordinary PC with Windows 11 or later (or Windows Server), the kind that already runs QuickBooks Desktop or Sage 50. There’s no special device or dongle. It needs an internet connection to reach your store. When we set up your trial, we install the two free Microsoft components it uses: the .NET runtime and the Access Database Engine. #
Does CartSpan need to be run on my server?
No. CartSpan runs on any Windows 11 (or later) computer where QuickBooks Desktop or Sage 50 is open with your company. That can be a workstation, even when your company file is stored on a server. It can also run on the server itself, whether that’s a Windows Server machine or, as in many small offices, an ordinary PC that holds the company file. Or it can run beside your books at a host such as Summit Hosting or Ace Cloud Hosting. Wherever it runs, that computer stays on with your accounting program and CartSpan both open. #
Price
What does CartSpan cost?
$495 for the license, including the first 12 months of updates and support and setup with you. Then $299 a year for maintenance from year two. QuickBooks Pro or Premier also need QODBC (see below). Pricing #
Is there a per-order fee or an order limit?
No. One price covers any number of orders, stock updates, and orders as often as every 15 minutes. #
What does QuickBooks Pro or Premier need?
A read-only QODBC license from FLEXquarters, $149 per user a year (checked October 13, 2026). QuickBooks Enterprise includes it, and Sage 50 doesn’t need it. #
Does Amazon cost extra?
No. Amazon comes at no extra charge, like every other store. #
What does maintenance cover?
Every CartSpan update, including the builds for each new QuickBooks or Sage 50 year, and support if CartSpan misbehaves or has a bug. Work after a crashed computer, lost data or a re-install isn’t covered; we quote it when you need it. #
What happens if maintenance lapses?
CartSpan stops until you renew. You get a reminder 10 days before, and renewal is one click from inside CartSpan. #
Can I move CartSpan to a new computer?
Yes. The install has several parts, so you’ll likely want our help with the move. There’s no charge as long as the computer you’re moving from still works. If that computer has crashed, the move is quoted work, like any re-install. #
QuickBooks Desktop and Sage 50
Which QuickBooks editions work?
QuickBooks Desktop Pro, Premier and Enterprise, 2023 or newer. Not QuickBooks Online. #
Which Sage 50 versions work?
Sage 50 U.S. 2024 or newer. #
Does it work with hosted QuickBooks or Sage 50?
Yes, with third-party hosts such as Summit Hosting and Ace Cloud Hosting, at no extra cost. Using a different host? Call us and we’ll check whether CartSpan works with it. Sage’s own Sage 50 Cloud runs only Sage-approved add-ons, and no store integration is on that list, including CartSpan (Sage knowledge base, checked October 13, 2026). Rightworks doesn’t host CartSpan. #
What does an order become in my books?
The document you’d key by hand: an invoice or a sales order, or, optionally in QuickBooks, a sales receipt. Customer groups or payment methods can decide which, with their own terms and sales rep. #
Can the same order post twice?
No. Before each import CartSpan checks the order numbers already in your books. #
What happens when an order doesn’t add up?
It’s not unusual for a store plugin to change an order’s values so the amount paid no longer matches the order’s lines. CartSpan holds that order, so the wrong amount never reaches your books, and tells you: an email, and a line in its Inbox with the reason and a Fix button. Stock updates pause meanwhile, so your store doesn’t show stock from an order that’s still on hold. #
Does CartSpan recalculate tax?
No. CartSpan always keeps the tax your store charged, to the penny. In Sage 50 it splits that tax across your tax agencies by rate. In QuickBooks Desktop it brings the tax in as line items: one line per tax item when the order’s tax code is a sales tax group, split by rate, otherwise a single line. Either way the total matches what the customer paid. You can instead set CartSpan to use QuickBooks’ own tax field, and QuickBooks recalculates the tax as the order comes in. If your QuickBooks tax setup doesn’t match your store’s exactly, the order then differs from what was paid, usually by cents rather than dollars, and someone has to correct it. #
Can it handle bundles and packs?
Yes. A bundle sold as one item posts as its parts, with the price split by list price. A 6-pack can post as 6 singles, the way you stock them. In QuickBooks, a Group item is recognized and split on import. #
Stock
How quickly does stock reach my store?
CartSpan looks for stock changes in your books every minute. When it finds one, it starts sending the changed items to your store. Amazon is the exception: its stock goes in batches, at most every 30 minutes. Some setups use the scheduled refresh instead. If CartSpan works out how many kits you can build from their parts, counts stock on open purchase orders as available, or leaves some warehouses out of your store’s numbers, it has to recount your whole inventory to get those numbers right. In those setups your store’s stock is updated on the full refresh you schedule (as often as every 15 minutes), not the one-minute check. Everything else works the same. #
Does the store see on hand or available?
By default, available: stock on hand minus open sales orders, so the store doesn’t sell what’s already promised. An option sends on hand instead. #
Stores
Which stores does CartSpan connect?
Shopify, WooCommerce and Magento, plus BigCommerce, Amazon, Squarespace, Walmart, ShipStation, ShippingEasy and several self-hosted carts. All integrations #
Does it work with Shopify POS?
Yes. POS sales post like web orders, labeled by location, and each location’s cash can go to its own account. #
Do Shopify Payments payouts match the bank?
On Sage 50, yes: one deposit per payout, equal to the bank line, with Shopify’s actual fees and refunds handled. On QuickBooks Desktop, payouts aren’t reconciled. How payouts post #
Why doesn’t CartSpan send prices to Shopify?
Shopify’s pricing tools, from sales to price lists, are built for this, and prices change far less often than stock. CartSpan keeps your stock right and leaves pricing in Shopify. #
What happens when Shopify retires an API version?
CartSpan checks every day which versions Shopify still supports and offers a one-click update before the one you use retires. #
Do I need a WordPress plugin for WooCommerce?
No. A small script on your web server does the job, so there’s no CartSpan plugin to update or clash with your others. #
Do I need a Magento extension?
No. Two small scripts on your web server. Your Magento module list doesn’t change. #
Which Magento versions work?
Magento Open Source 2.x, including the latest release, and the latest Mage-OS, the community edition built on the same code. Tell us your PHP version and we’ll supply scripts built for it. #
Does it work with Adobe Commerce?
No. CartSpan is built for Magento Open Source and Mage-OS on a server you control. It isn’t offered for Adobe Commerce, Adobe’s paid edition. #
Which Zen Cart versions work?
Zen Cart 2.2, the current release (Zen Cart, checked October 14, 2026). On an older version, tell us your Zen Cart and PHP versions and we’ll confirm. #
Your data
Do my orders pass through your servers?
No. Order data goes straight from your store to the computer running your books. #
How are my store passwords kept?
Store and database passwords are stored encrypted on your computer. #
No question matches that. Call 513-708-1317 and ask us directly.
